The following steps should be completed to set up the Clients Module:  

 

1.Clients > Properties.  This screen contains fields that can be used for sorting the database or tracking information about each client.  

 

2.Clients > Sales Tax Districts.  The Purchase Orders Module and the Miscellaneous Receivables Invoices utilize the sales tax district codes.  These codes can be linked to customers and vendors in the client list.  

 

3. Clients > Add Canadian Provinces.  If you do business in Canada or with Canadian vendors, use this option to add the list of Canadian Provinces to the state table.  

 

4.Tracking Subcontractor Information.  If you will be tracking information such as certificates of insurance and warranties, then be sure to set up the Clients > Default Profile Controls as well as the Clients > Job Profile Controls.  Be sure to read the section on tracking subcontractor information for complete details.  

 

5.Clients > Client List.  This option is used to create a list of vendors, customers, architects, lenders, etc. Note: Keep in mind that clients can be added 'on the fly' on most screens by clicking on the clients icon. Links_Clients

 

Do-itNote: Your own company information must be set up in the Clients List and the assigned company number must be entered on the File > System Administrator > Configuration screen.  This number and the related information will be referenced by the other modules in the system.

 

6.Clients > Configure User E-Mail. Reports and forms can be emailed directly from AccuBuild as long as the user email has been configured properly.  This screen is usually maintained under the File > System Administrator > User Maintenance option,  however, most users are not allowed access to these functions.  The Configure User E-Mail option allows the user to set up his own e-mail without having access to passwords and other system security functions.  This option displays the e-mail settings for the current user only.  

 

7.Clients > Client List > E-mail Contacts button - A list of individual contact names and e-mails address can be added to each company in the client list.  Previewed reports and forms in AccuBuild can be e-mailed to anyone in the E-Mail Contact List from within AccuBuild.  The E-mail Groups option allows you to create a group of e-mail contacts and broadcast an e-mail to everyone on that list.  If you use the AccuBuild Document Management System (ADMS) you can attach a document to an e-mail and the system will log that you have e-mailed the document to each contact. If you own the ADMS module, then be sure to review the File > System Administrator > User Maintenance > DMS Settings Tab for each user which controls the user's security settings for the ADMS system.
