The normal flow of activity in the AccuBuild Document Management System (ADMS) consists scanning or importing document images into AccuBuild and then linking those documents to various fields within the company database.  

 

1.Scanning and Importing Document Images - Documents are scanned into AccuBuild using a Twain complaint scanner and then linked to fields within the company database.  Imported files are simply copies of existing documents or images that already exist on the local or network drive and are filed for use by AccuBuild based on the ADMS Properties setting.  The imported documents are then linked to the various fields within AccuBuild.  Documents, including Outlook e-mails and e-mail attachments, may also be 'dragged and dropped' onto the various master lists screens.

 

2.Process Document Batches - Once all of the links have been created for a document or batch of documents, the documents are saved in AccuBuild based on the file path criteria defined by the ADMS Properties setting.  The document links may be changed at any time by reviewing the properties of the document.
3.When the user closes the company file or closes the AccuBuild program, the system will automatically remove any temporary documents and file any documents that have been modified.  These tasks can be performed manually by the user at any time.

 

4.Printing reports - There is currently one report available in the Document Management module.  The List of Documents report prints a list of all documents based on date of creation, user, and document links.  Complete transaction history of each document is also available which will include both current and prior links as well as email history.
