AATRIX TAX FORMS SOFTWARE

 

NEW FEATURE - The Aatrix Tax Forms Software is now included in the AccuBuild Software and replaces the W2s, 1099s and quarterly tax report options that currently exist in AccuBuild.  The Aatrix Software automatically produces over 250 Federal and State tax forms to plain paper including W2s and 1099s.  You may also e-file your forms from within the software via the Aatrix Payroll E-file Center.  In addition, Aatrix offers a variety of W2 and 1099 e-file packages which may include:  E-file to the appropropriate Federal and State agencies, print and mail documents to employees or vendors, and post employee W2 information to a secure website that you and the employee may access anytime. https://partner.aatrix.com/accubuild

 

 

ACCOUNTS RECEIVABLE

 

CORRECTION - The MAR Reconstructed Aging Schedule was duplicated entries when the invoice contained multiple revenue accounts.  This issue has been corrected.

 

 

JOB COST

 

NEW FEATURE - The Contract Billings screen contain a new option called 'Automatic Job Cost %' that will calculate the percentage of completion on each job cost phase that is linked to a billing phase.  The calculation will divide the total costs, including open payables, by the total estimated cost to determine the percent complete.  If the calculated percentage is more than the current percentage for that item on the billing, the new calculated percentage will be used to update the billing item.  If the costs to date are more than 100% of the estimated cost, then 100% will be used.

If there are multiple items on the billing with the same billing phase, the calculated percentage will be applied to each item on the billing.  For example, if phase 1000.00 Mobilization is 73 % complete based on the job cost totals, and there are 3 billing items linked to billing phase 1000.00, all 3 billing items will be set to 73% so that the roll up overall total on phase 1000.00 of the billing should be 73%.

 

Important Note on Linked Projects - If the job is linked to multiple jobs for contract status purposes, the user will be prompted during the percentage calculations to determine whether the individual job should be used for the calculations or if all linked projects should be queried for estimates and costs in order to obtain the total percentage of completion.  This could be very useful where the contact is set up on one job number but the costs for different phases or buildings etc are tracked on separate job numbers.

SYSTEM ADMINISTRATOR

 

CORRECTION - The 'minimize screen' option have been removed from the following screens: Company Inquiries, Project Management Forms, MAR Views, and Job Detail Items Grid.   The minimize function would prevent the user from accessing the screen and freeze up the system.

 

NEW FEATURE - The System Administrator menu contains a new menu option titled 'Company Table Audit Trail Management' that allows you to set up a temporary audit trial on any company table within AccuBuild.  This process can be enabled in order to troubleshoot data entry issues.  Two records will be created for the audit including a data/time stamp of the change; the first record will contain the original values of the item and the second record will contain the new values.  These records can then be viewed through the System Admin > Company Inquiries option by opening the appropriate audit trail file.  Due to the fact that this feature may slow system performance when enabled on tables that contain a lot of transactions, it is advised that the audit trail be cancelled after the information that is needed has been gathered.
