The Submittal Tab contains the specific fields for a Submittal record.

 

General Information

 

oSubmittal Number – This number is automatically assigned but you can manually enter your own number as desired.  
 
Hint:  If you need to track the number of submittals per category, consider using one of the user defined fields to hold a secondary submittal number.  For example, define the user defined number field as 'Submittal Number'.  If there are three submittals for category 3, then enter the submittal number as 3.01, 3.02 or 3.03.  This user defined field can be displayed on the Submittal Log grid and the columns can be arranged in any order to make it easier for you to find the information.

 

oOrigination Date – Defaults to the current date but can be changed as needed.
oCategory – Select a category from the list that has been created for the job.
oSpec. Section # - This field is optional.  Select a specification code from the list that may have been created for the job.
oDescription – This field is optional.  Use this field to enter a detailed description of the submittal items.
oNotes - Optional field to record any notes regarding the transmittal of the submittal package.
oResponse Text – Type in the response received from the company to whom the COR was submitted.
oResponse From – Select from a list of companies included in the Team List for the job.
oContact – Select from the list of contacts associated with the company in the Response From field or simply type in a name.

 

Information may be manually typed into the following fields or these fields will be automatically updated if you utilize the features on the Correspondence Tab.

 

oSubmittal Request Date - Automatically updated with the current date when the Request Submittal button is selected.

 

oReply Due Date – Updated with a future date based on the default number of working days allowed for a response on a Submittal Request.

 

oDate Received – Automatically updated with the current date when the Submittal Received button is selected.

 

oAnswer Distribution Date – Automatically updated with the current date when the Distribute Answer button is selected.

 

oStatus & Status Date - These fields are automatically updated as each button on the Correspondence Tab is selected.

 

Approval

 

oSubmitted To - Select from the list of companies linked to the category list.
oContact - Select a contact name for the company entered in the Submitted To field.

 

Information may be manually typed into the following fields or these fields will be automatically updated if you utilize the features on the Correspondence Tab.

 

oApproval Req. Date - Automatically updated with the current date when the Out for Approval button is selected.

 

oReply Due Date - Automatically updated with a future date based on the default number of working days allowed for a response on a Submittal Request.  

 

oApproved – Automatically updated when the Answer / Close button is selected.
oApproval Date – Automatically updated when the Answer / Close button is selected.
oApproved By – Enter the name of the approving authority.

 

User Defined Fields

 

Note:  These fields are only displayed if marked as visible on the Properties Screen.

 

oLogical 1 – True or false field represented by check box.  If checked, then true else false.
oText 1 – Text field for alphanumeric characters.
oDate 1 – Date field with drop down calendar.
oNumber 1 – Number field that allows decimal positions.
oInteger 1 – Integer Number with NO decimal positions.
