Restructure to Handle Multiple Master / Task Records

Update Bid Items Button – A new button is available at the top of the screen for updating Bid Items on a job.  The update options include adding new bid items and editing existing bid items:

Add – Use the Add Button to add new Bid Items to the existing Cost Phase on the job.

 

Edit – The exiting Bid item Information can be edited by simply changing the information in the grid.  Any changes will be kept in the bid item audit trail record.

 

Delete – Use the Delete Button to remove existing bid items from the job.

 

Note: If the Bid Item contains child task records, you will need to delete the task records before the bid item can be deleted and the following dialog screen will be displayed:

Audit Trail - As each Bid Item is highlighted on the grid, the bottom status bar will indicate any changes that have been made to the bid item for audit trail purposes.  The most recent change will be displayed (if any) along with the User Name that made the change and the date and time of the last change.  To drill down and see complete details on ALL changes to the Bid Item, simply click on the status bar and a grid will be displayed showing details of all fields that were changed including the Original Field Value, the New Field Value, the user that made the change (Changed By) and when the change was made (Change Date/Time):

Update Bid Item Tasks –  A new button is available above the tasks grid for updating Bid Item Tasks for the selected Bid Item. The update options include adding new task items and editing existing tasks:

Add – Add new tasks to the existing bid item.  The new task will be added to the grid and the task information can then be edited inside the grid fields.

 

Edit – Any task can be edited by simply changing the information in the grid. Any changes will be kept in the task audit trail record.

 

Delete – Remove existing tasks from the bid item.

 

Note:  If production unit transaction records exist for the selected task (units and/or hours), you will be warned with the following dialog screen.  For best practices, if you are going to delete a task with production transactions, you will probably want to make a reversing entry against the task to bring the total units and hours to a zero balance.

 

 

Task List – The Task List Button is used to maintain a master list of tasks for each job cost phase and to copy these tasks into the current Bid Item.  The Task List is automatically filtered for the current job cost phase when the screen is opened as shown at the bottom of the screen.  You can simply remove this filter to update task items for other cost phases.

oNew – Use the New Button to add a new task to the task master table (PRODTASKS). IMPORTANT Note: The Task Description must be UNIQUE for each task within the same cost phase.  If the description is not unique, you will get an invalid key index error.  You can correct the description to make it unique or simply press the ESC Key cancel the entry.

 

oEdit - Any task can be edited by simply changing the information in the grid.

 

oDelete – Use the delete option to remove one or more tasks from the task list.  Use the Shift+Click or the Shift+Up/Down Arrows to select multiple records for deleting.

 

oAttach Selected Tasks to Bid Item – This option can be used to copy one or more tasks to the current Bid Item.  Use the Shift+Click or the Shift+Up/Down Arrows to select multiple records for deleting.

Restructure - The Production Units by Detail Item Feature has been restructured to handle multiple sets of Master / Task records for the same Bid Item Number by using rolled up totals in the production units input screen.  You can now have unlimited sets of Bid Items representing the same Bid Item Number and the totals will be rolled up for the Bid Item Reporting Screen.  This will now handle situations where adjustments need to be made to the production unit hours and amounts due to additional change order work or estimate adjustments as shown in the following example:
