Job List - Detail Items Tab

 

The Job List has been updated to check for date issues with job detail items on the Item_Date field.  These items will now be treated with the same business rules as the accounting transactions. This will be very useful for locking in WIP Schedule totals after a month end closeout and prevent estimate and contract amounts from being changed after a closeout.

 

When editing a detail item that is linked to a contract billing (non-zero billing phase), new business rules will now block any changes for items that have already been billed.  Editing of the item fields will still be allowed, however the item billing fields will be set for read-only and cannot be adjusted.  The billing fields that will be set to read only include the Billing Phase, G/L Revenue Account, Contract Units, Contract Unit Price, and the Contract Amount.  In addition, a message will be displayed in Red Text indicating the prior billing field name that is triggering the read only settings.   Use the detail item grid on the upper portion of the screen to locate the field name that contains the billing amounts as shown with the Item_Total Field.  This new feature will now prevent issues when contract billings are voided and the void process fails because the billing fields have been edited or cleared after billing totals have been posted to the detail items.  If the related billings are voided, and the totals are set back to zero, you will be able to edit these billing fields.

Sub Payment Sheet / Estimate Buyouts (Job Cost Menu Option)

 

The Sub Payment Sheet / Estimate Buyouts Screen has been updated to check date for new buyout items and enforce the same business rules as other accounting transactions. Both the prior period and the future period rules will be checked before allowing the items to be added.

 

Import Job Estimate Files (Job Cost Menu Option)

 

The estimate import screen will now validate the item date on the import records and make sure the dates follow the accouting business rules.  If the dates are invalid, the posting process will be cancelled.  This validation process is for estimate records that are imported directly to the job records in the ESTDETL table.  

 

oNOTE:  Estimate records that are imported to the COR Breakdown Screen do NOT have to be validated for the accounting date business rules.  The validation will be done when and if these imported records are linked to accounting.

 

 

Job Detail Items (Job Cost Menu Option)

 

The Job Detail Items Screen has been updated to enforce the transaction date business rules for Job Detail Items that are enforced on the Detail Items tab of the Job List.  

 

Edit Item - If an item is edited and billing totals have been posted for the item, then the billing fields will be set to read-only mode so that the fields cannot be changed.  When these fields are set to read only mode, a message will be displayed in Red Text indicating the prior billing field name that is triggering the read only settings.

Related COR Items – If the Related COR Items screen is opened up, the business rules for this screen for transaction dates and billing totals will also be applied for the Edit Item option as well as the Clear Links option.

 

COR Group Pricing Breakdown Screen (Project Management > COR Screen)

 

The COR Group Pricing Breakdown Screen has been updated in several areas to enforce the transaction date business rules for Job Detail Items.  In addition, when editing a detail item that is linked to a contract billing (non-zero billing phase), new business rules will now block any billing field changes for items that have already been billed which will prevent COR breakdown amounts on contracts fields from being changed once they are billed.

Item Status Bar - A new status bar has been added below the COR Llinks Button to show the accounting link status for each breakdown record.  The accounting link status represents the Job Detail record information when a link has been establised between the breakdown item and the accouting system.  If the status is displayed in red text,  then you will NOT be able to edit the record due to an invalid date or historical billing totals for the item.  If the item is enabled for editing, then the status information will be in blue text.

The menu options on the COR Links Menu Button have been updated for new business rules:

oEdit Links on Current Breakdown Item – This option will now check the detail item date (for linked items only) and will not allow the links to be edited if an invalid date is encountered on the item.  If the dates are OK then the COR Category Breakdown Accouting Links Screen will be opened for editing.  This screen will enforce the transaction date business rules for the Item Date and the Approval Date.  If an invalid date is entered, it will automatically revert back to the original date and cancel the date change.  If this screen is opened for a detail item that has historical contract billing totals, then the Prior Billing Message will be displayed at the bottom of the screen in red text.

 

oLink ALL Displayed Breakdown Items – This option will now check the current date which is used for Linkingdetail item date (for linked items only) and will not allow the links to be edited if an invalid date is encountered on the item.

 

oClear Links on ALL Displayed Breakdown Items – This option will now check the current date which is used for Linkingdetail item date (for linked items only) and will not allow the links to be cleared if an invalid date is encountered on the item.  In addition, the billing totals for the detail item will be checked to make sure there are no historical billings associated with the item.  If historical billings exist, then the link will not be cleared.

 

oChange Billing Phase on Selected Items – This option will now check each breakdown item to see if it is linked to accounting.  If the item is linked, the the billing phase will only be changed if the item date is valid (non prior period) and there are no billing totals associated with the item.

oDelete Button – The delete option will now check the date of any linked detail items to make sure the item date is valid and that the item does not have any historical billing totals.  If the test on the linked detail item fails, the record will NOT be deleted

The Update / Edit Production Unit Bid Items Screen (located through the Job Cost > Production Units by Detail Item > Update Bid Items Button) has been updated to enforce the business rules for transaction dates and prior billing totals on detail items.  The Bid Item Units field and the Contract Amount field will be disabled when the business rules are being enforced.  In addition, a red status bar will be displayed at the bottom of the grid in order to notify the user that the item amounts cannot be changed.  The Delete Button has been updated to make sure the business rules are not violated before allowing a bid item from being delete.
