Document Management Settings – This section contains the settings that can be configured for the default behavior when working with documents.

 

File Modified Documents Automatically when Program is Closed – When this option is checked, all third party modified documents that have been modified by the user will automatically be filed back to the AccuBuild Document Management System (ADMS).  A third party document is any document or file that is not edited directly by the AccuBuild System such as spreadsheets, word processing files, etc.  Documents that can be edited directly by AccuBuild include all the document types that are enabled in the Image File Types to be processed by AccuBuild box as outlined below.  If this box is NOT checked, then the user will be given a chance to select the desired documents to be filed back to the ADMS. Note:  You may file modified documents at any time when the AccuBuild Program is open by using the File Modified Documents Menu Option from the Document Menu.

 

Save Documents as Private – When this option is checked, all documents that are attached to the ADMS by the user, will be marked as private documents and cannot be viewed by other users in the system.  Each user in the AccuBuild System can access all of their own documents as well as any other user documents that are saved as public documents.  The private/public setting of a document can be modified at any time via the document properties screen.

 

Replace Original Document after Modifying (DO NOT Save as Copy) – When this option is checked, any document modifications will replace the original copy of the document in the ADMS when the document is saved. Note: It is much safer to leave this option unchecked so that any document revisions will be saved as a revised copy of the document instead of replacing the original.

 

Open all documents in EDIT MODE on double-click – All documents in the ADMS may be opened for viewing only OR for editing.  Changes made to documents that are opened for viewing only, will NOT be saved.  Documents can be opened quickly by using the double-click mouse option and this setting will determine if the double click option will be used to Edit a document or to View a document.

 

Prompt user on double-click for Open Mode (Edit or Read-Only) – This feature allows you to decide whether or not you would like to open a document in Edit Mode for changing or in Read Only Mode for viewing after you double click on the document.  Previously you could only set how the double-click option behaved, but when this option is enabled, you will be prompted for how you would like to open the file.

 

Enable User-Friendly File Name when opening documents – This option can be used to expand the name of the file that is opened in order to make it easier to identify the document.  ADMS uses a naming convention for all documents that are stored in the system and these documents are identified by ID Number in order for ADMS to file modified documents properly back into the AccuBuild System when the documents are saved.  This document Id name makes it hard to decipher the document description when it is opened up with third party application software such as Microsoft Word or Excel.  When this setting is enabled, the document will be opened under the normal ADMS File name with the Document Description appended to the end of the file name.  This will help the end user to identify the document and insure that any document changes are filed properly after they have been saved.

 

ADMS Folder Security Settings

 

Folder Administrator – Allows user to have access to ALL Folders in ADMS and full control of these folders.  A user with folder administrator access will be able to add folders, delete folders, change folder security, move folders, and rename folders.  You do NOT need to set any other security options for a user who has folder administrator access.

 

Add Folders – Allows users to create user defined folders in ADMS on the document screens that the user has access to.  Any new folders added by a user will be available to the user who created it AND the EVERYONE Group which all users belong to.

 

Delete Folders – Allows users to delete folders in ADMS on the document screens and the folders within those screens that the user has access to.

 

Change Security – Allows users to change the folder security settings on the document screens and the folders within those screens that the user has access to. Note:  Folder security is handled by assigning users and user groups to the folder.  By default, when a new folder is created in ADMS, the folder will be available to the user who created it AND the EVERYONE Group which all users belong to.

 

Move Folders – Allows users to move folders to another folder branch on the document screens and the folders within those screens that the user has access to.

 

Rename Folders – Allows users to change the folder names on the document screens and the folders within those screens that the user has access to.

 

Image File Types – This section contains a series of check boxes used to determine which types of graphic files will be handled directly by AccuBuild for editing and viewing.  The AccuBuild DMS is capable of editing and viewing any of the file types in this list.  If the user prefers to use a third party software package to handles one or more of these file types, then the file type should be unchecked so that the AccuBuild DMS does not attempt to open the file directly.  For example, if a user prefers to use Microsoft Paint to edit any Bitmap (BMP) files, then the BMP Check box should remain unchecked and AccuBuild will pass the file to the Windows Operating System for determining which program will open this file.
