Change Order Log

The Change Order (CO) Log is used to track final approved change orders.  Both Normal and Internal change orders can be tracked.  An Internal CO is defined as a request not dictated by the owner or architect of a project.

When a new CO is created, it can be designated as an internal request by clicking on the 'Internal CO?' check box found at the bottom of the screen when selecting the job.

Each Change Order is assigned a sequential number for reference purposes.  An approved change order is made up of one or more Approved COR entries provided that they are of the same type (normal or internal).  The total amount of an approved change order will be the sum of all the related COR record amounts.  All COR entries with the same COR number (multiple categories) must be closed before they can be attached to the Change Order.  The Change Order MUST attach all COR entries as a GROUP.  These COR attachments may be approved or rejected but MUST be CLOSED.  Once a COR has been attached to a change order, the amount fields cannot be changed.  Since COR amounts roll up to the approved change order, allowing a change to the COR amounts would have an impact on the change order total so this is not allowed.

If a Change Order is related to one or more RFI entries, then each related RFI can be linked or tied to the CO entry for a backup audit trail for all the related correspondence and documentation that led up to the approved change order.

Change orders can be deleted by using the Delete Button on the keyboard.  This option can be fully secured through the System Administrator.  When a change order is deleted from the PM Log, all of the related COR and RFI entries will be reset as candidates for new change orders (Ver. 8.3.0.1 Green).  If you do NOT want these entries to be associated with future change orders, then simply change the status of each item.

The CO Screen has several tabs of information and it also contains buttons to create Tasks and Events for the current user as well as other users.  Please refer to the section titled My Day for more information on using and securing the Tasks and Events functions.
