PAYROLL - CERTIFIED PAYROLL REPORTS - ENHANCEMENT

The Certified Payroll Reports contain a new option on the report screen to include only the last four digits of each employee's social security number.  This option is now checked by default in response to the latest reporting guidelines.  You can still show the full social security number by un-checking this box.  When this box is checked, the following new report formats will be used.

If you need the California specific reports with the 4 digit SSNs, then please DELETE your existing report substitutions (File | System Admin | Report Substitution) and create new substitutions as follows:

PAYROLL - TIME CARD IMPORT - ENHANCEMENT

 

The Time Card Import routine now creates backup copies of the time card batch tables before processing the import records in case the import process has problems and the user needs to revert back to the batch files as they were BEFORE the import process was run.  Refer to the Time Card Import documentation in the Payroll manual for complete information.

 

PAYROLL TAX UPDATE

 

The State of Louisiana has issued new tax tables which are included in this release and should be used for wages paid on and after July 1, 2009.

 

The Colorado State Income tax tables have been updated for the latest personal exemption amounts and minimum income brackets.

 

PURCHASE ORDERS - CORRECTION

 

When adding a new inventory part number on the fly inside the purchase order screen, the part number would not show up in the parts list until the screen was closed and re-opened.  This problem has been corrected and the new parts and/or edited part information is now refreshed immediately inside the purchase order screen.

 

MAR JOB COST REPORTS - NEW REPORT

 

A new report in MAR titled Change in Job Contacts will track any changes made to the Supervisor or Project Manager fields on a job (Job Cost | Update Jobs option).  The report includes the date and time the fields were changed and the user that entered the changes.

 

OFFICE ADD IN FOR ADMS - ENHANCEMENTS

Please note:  You will need to uninstall and re-install the Office Add In from each workstation to use these new features:

 

New functionality and logic has been added into the AccuBuild Office Add In product in order to differentiate between documents that are opened from AccuBuild (for revisions) vs. documents that are opened or created outside of AccuBuild.  Please refer to the AccuBuild Office Add In documentation for full information.

 

New Button has been added that allows you to Log Out of Accubuild once you have logged into a company.  This is useful when you need to log into another company for filing and accessing documents in ADMS.

 

New Button added called Refile To AccuBuild ADMS which allows you to file a document that was opened from AccuBuild back into ADMS from the Add In Program (Word, Excel etc.)  Revised documents are checked back into ADMS and the check out (In Use) flag is cleared so that other users can access the document.

 

New Button to Save As… to AccuBuild ADMS which allows you to change the file name during the save process before the document is filed into ADMS.

 

New scripts were included in this update to insure that there are no conflicts for users when working on documents from the Add In Modules and working with documents in the various document screen in the AccuBuild program at the same time.

 

HELP MENU - NEW MENU OPTION

 

A new menu option titled ADS Error Log Utility has been added to the help menu.  This utility can be used to display the error messages from the Advantage Database Server.  Note: You must have administrator rights to your server drive or have access to the C Drive on the file server where the Advantage Database Server is installed.  This utility makes it easier to access the error log and provides a grid tool to sort and isolate common error messages and group the errors by workstation ID for easier identification of error patterns.

 

PROJECT MANAGEMENT - RFI FORM UPDATE

 

The section titled 'Title / Section of Work' on the RFI Form was printing as a blank field in the library version of the RFI Status Form.  The wrong field was mapped to the form on previous versions and should have been mapped to the 'WorkArea' field.  Be sure to update any custom versions of this form with the proper field name ('WorkArea') where applicable. (Library Form Name: PMRFI1.300)

 

MAR JOB COST REPORT - CORRECTION

 

The job cost report titled Job Cost Capsheet – Job / Phase / Contract Totals was revised to correct the contract amounts to include any miscellaneous A/R invoices that were linked to the contract.  Previously, these amounts were left out of the contract totals, however they were included in the billing and receipt totals.

 

PROJECT MANAGEMENT LOG - CORRECTION

 

An error existed that would generate an exception error on the RBScript.adt table if a log entry was clicked on immediately after loading the PM Log before the screen was fully loaded and ready for processing.  This problem has been corrected and any quick mouse clicks will be ignored until the screen is completely loaded.  Note: This exception error was causing errors 32 and 7040 to be logged in the Advantage Database Server error log.

 

GENERAL LEDGER - ENHANCEMENTS

 

The chart of accounts has been updated with a new field for classifying the accounts with specific codes for financial reports in MAR.  The new field is called Account Type for Financial Reporting which can be set by using the drop down control to select the appropriate classification.  The list of account types is not editable by the user.  This new field will be used in conjunction with new MAR Reports under the Ledger Section.

 

MAR LEDGER REPORTS - NEW REPORT

 

A new MAR Report has been added to the Ledger Reports titled Cash Flow by Bank Account Report which will report on the cash flow activity for all bank accounts found in the chart of accounts. Note: Before using this new report, you will need to set the Account Type for Financial Reporting field in the chart of accounts to 'Cash' for any bank account that you want to include in the report.  This report includes the opening balance for the fiscal year of each account, along with all the cash flow activity for receipts and expenses, and the closing (current) balance.   In addition, this report includes drill down detail for the cash flow transaction activity.
