New Company Setup

The New Company option is used to create a new set of data files for each company created in AccuBuild.

 

AccuBuild is licensed per physical site and one license will allow the set up of multiple companies within the program.  For companies that have one or more subsidiary company where the record keeping is maintained at one location, each company may be set up separately using a single AccuBuild license.  If the records of the subsidiary company are maintained at another location, such as in another state, then a second copy of the AccuBuild program must be purchased in order for the software license to be valid.

 

Each company created with a single license of AccuBuild will maintain a completely separate set of books for each company.  Each company will have its own company directory with a complete set of data files and each user of each company will have their own subdirectory of each company directory.  Records between companies may not be consolidated.

 

Hint:  It is recommended that you create a new company to hold a copy of your data before you close each fiscal year.  The new company should be named so that it represents the fiscal year and can be used to print financial information for that year.  Refer to the documentation on Creating Multiple Companies for more information.

 

Create a New Company

 


 

1.Select the New Company option to display the Create New Company screen.
               
Company Name - This field may contain up to 35 alphanumeric characters including spaces.  The company name does not have to be the legal name of the company but can be an abbreviated version of the name.  The system will create a company directory under the \accubld8\ program folder based on the information entered in this field. Note: AccuBuild will not allow more than one company to be stored in the same directory.
               
Controller Name - Enter the name of the person in this field who will have access to all areas of the system. The controller can set menu access for all other users on the system. This field may contain up to 35 alphanumeric UPPERCASE characters including spaces.  The system will create a user directory under the \accubld8\yourcompanydirectory\ folder based on the information entered in this field.
               
Password - Enter the password for the controller. The password must be entered in the 'Type in again' field for verification. If the two passwords do not match, the system will reject the password and the password must be re-entered in both fields. The password field may contain up to 12 alphanumeric UPPERCASE characters but may not include blank spaces.                        
 
Company File Directory and User File Directory - As noted above, the company file path and the user file path will be automatically created for you as you enter in the company name and the controller name. The directories may be changed on this screen or you may browse the directory by clicking on the yellow icon to the right of the file path. AccuBuild will then create the directories for you if they do not already exist. It is recommended that your company directory be set up as a sub-directory of the AccuBuild directory and that the user directory be set up as a subdirectory of the company directory.
 
For example: H:\AccuBld8\ABCConst would be created for the company directory and H:\AccuBld8\ABCConst\Jack would be created for the user directory.                        
 Please refer to the User Maintenance option for setting up additional users on the new company.                        

 

2.Select OK to start the file creation. Once completed, the New Company option is disabled. Please exit the program completely. Restart the program and open the company.
               
3.To exit a company's data files without leaving the AccuBuild program, select Close Company. This option is only available when a company's files have been opened. After closing the company files, select Open Company to re-open the same company or access another set of data files.  
4.More than one company may be opened at a time on one workstation.  Simply launch the AccuBuild program twice and open the appropriate company.  Similarly, the same company can be opened more than once on one workstation as long as you use different user names.
