Partial Run Dialog Enhancement

 

Two new buttons were added to the Partial Run Dialog which is used throughout the AccuBuild Program which allow for Selecting ALL Items and Clearing ALL Items on the partial run list. The primary use of this feature will be for reprinting checks for both payroll and accounts payable when you need to reprint the entire batch. The button on the left side will check all items in the list and the button on the right side will uncheck all items.

 

ACCOUNTS PAYABLE

 

ENHANCEMENT - When using the Schedule Payments Screen with the Advanced Grids option (see payable property settings), you can now use column filtering in conjunction with the Pay All and None buttons to make selected groups of invoices for payment and or non-payment. This is very useful when you want to pay a large vendor invoice with hundreds of line items for the same invoice number. Simply filter the screen for the desired invoice and use the Pay All option. Note: When using this option to mark invoices for payment, the Total amount to pay field will show the totals for the current invoice filter. Hint: You can click the lightning bolt button at the top of the screen to refresh the total for all marked invoices.

 

ENHANCEMENT - The Change Open Invoice Screen has been updated with a new grid to make it easier to locate open invoices. All of the columns in the grid can be sorted, grouped, and filtered. In addition, the vendor Name has been added to the grid.

 

CORRECTION - When the Accounts Payable system is set up to include cash discounts on the job cost records, the transaction date of the cash discount was following the accrual date of the original invoice. The transaction date for the cash discount is now the same as the transaction date of the check (check date) which will now match the general ledger side of the transaction.

 

 

AccuBuild Mobile

 

ENHANCEMENT - The AccuBuild Mobile crew member list was including employees who were added to the crew but later terminated and not removed from the crew. The procedure will now add filtering so that only the Active Employees will be used from the crew. This way the end user will not be forced to remove employees from the crew as they are terminated.

 

ENHANCEMENT - For reports that have a fiscal year cutoff date, a new option as been added to the report cutoff month dialog called "No Selection" which will mimic the "Current Report" option that is used in the MAR Report Dialog of AB.  This gives us the same capabilities for these reports to run a current (today's totals) from mobile.

 

CORRECTION - The Equipment List for AccuBuild Mobile was not always getting an accurate up to date list of equipment when the list was set to the new Equipment By Job setting where only the equipment currently on the job was listed in the lookup control.  The issue has been resolved.

 

 

Document Routing

 

ENHANCEMENT - The Document Routing screen now contains a new column entitled “Coded Entries” which represents the number of AP Invoice line items that have been entered. The “A/P Entries” column shows the total line items for the invoice but does not show how many of those line items have been coded, and therefore this new column helps to determine if entries have been made.

 

ENHANCEMENT - The accounts payable entry screen for routed A/P invoices will now automatically fill in the phase lookup control based on the job number for the invoice when the Job Master Lookup option is enabled. This means you will not have to tab through the job field to trigger the phase list change.

 

ENHANCEMENT - The invoice entry screen for PO AP Invoices was loading slowly when there were lots of lines on the order for invoice being processed. The load speed for these types of larger Purchase Orders has been improved

 

 

Equipment List – Enhancements

 

ENHANCEMENT - The transactions on the Transaction Tab of the Equipment List will now order the transactions in ascending order by date so that the most recent transactions are at the top of the list.

 

ENHANCEMENT - Security Settings have been added to the Equipment List screen for securing the Add, Edit, and Delete Buttons.

 

 

JOB COST

 

ENHANCEMENT - The Cash Basis Cost Tab which is located under the History Tab on the Job List has been updated with a new grid and additional new fields in the grid. This grid now allows for all columns to be sorted, filtered, and grouped in order to find the phases faster. In addition, a new field has been added for the decimal portion of the cost phase call “Phase Decimal”.

 

 

MY ACCUBUILD REPORTS

 

ENHANCEMENT - The MAR Data Views on the AccuBuild Main Screen now support custom script classes. This now enables reports that are created with tailored SQL Script to be used in the MAR Data Views. Data Views can be used to get the report data into excel without all the report headers and footers.

 

 

Payroll

 

CHANGE - The Edit Button for time card entries is now limited to only changing the Job, Phase, State Code, and Equipment Number. No amount or transaction type fields can be changed any longer.

 

ENHANCEMENT - The transaction codes in the Time Card Worksheet no longer include brackets around the time card transaction description which now allows for the transaction code to be keyed in for faster entry.

 

ENHANCEMENT - On the Time Card Entry (Front End) Screen, the screen will now return to the current employee on the list after time card entries are made instead of going back to the top of the list each time.

 

ENHANCEMENT - The time card entry screen now supports flat amount deductions that are set up with NO (blank) State Code. Previously these one time flat deduction amounts were being excluded from the list for manual entry.

 

ENHANCEMENT - When starting a new payroll batch with salaried employees, you now have the option to pick the  salaried employees to include in the batch.  A new check box of all salaried employees will be displayed and you can select from the list when you do not want to run checks for all of the employees on the list.  

 

CORRECTION - The "Balanced File" feature for Direct Deposit NACHA Files had a Trace Number issue when the Trace Numbering needed to be enabled in the Payroll Properties.  The Trace Number was not being incremented for the offsetting Debit Record for the Bank Net Amount Total.  This problem has been corrected.

 

ENHANCEMENT - The Time Card Worksheet will now enforce two new rules for time card records that are linked to a daily report.  

 

1.If the Work Date on the time card worksheet record does NOT match the date of the Daily Report, the changes to the time card record will be canceled.  

 

2.If the Job Number on the time card worksheet record does NOT match the Job Number on the Daily Report, then the changes to the time card record will be canceled.

 

Hint:  Time Card records are linked to the Daily Report by the PMID field which can be enabled in the grid field settings control of the Time Card Worksheet Screen.  If you want to make sure any new time card entries are linked to a Daily Report, use the COPY button to copy a time card record from the desired daily and then change the time card fields for the new entry.  When a record is copied, the PMID filed will be copied and the new record will be linked.

 

ENHANCEMENT - A new field has been added to the Time Card Worksheet Screen called "Closed Daily Report". This new field indicates if the Daily Report that the time card entry is linked to has been closed or remains open. This is a read-only field and cannot be changed in the grid.  This field is automatically updated each time the related Daily Report is updated in the PM Log or whenever Daily Reports are closed from the AB Mobile Configuration Screen. Note:  Use the Integrity Test option on the Project Management menu to update all time card settings on all daily reports (both closed and opened).

 

CORRECTION - Local Deduction Code - Flat Amount - If you do NOT link the Local Deduction Code to ALL STATES and you leave the state field blank, the deduction will now work correctly. Previously, the only way to get this to work was to mark the deduction for ALL States or a Single State but these settings were not covering all situations for multi-state employees. As of this update, the business rule options for the local deduction settings when dealing with Flat Amount or Pre-Tax Flat Amount deductions are as follows:

 

Single State Deduction – When a flat amount deduction is set up for a single state, the deduction will be taken ONE TIME if there are earnings for that state. If there are NO earnings in that state, the deduction will not be taken.  The State name should be displayed in the State Code field.  The corresponding State Code Number will be automatically displayed next to the state name.

 

Multi State Deduction – If a deduction needs to be taken for ALL States, you will need to check the box titled Enable for All States. When this option is selected, the deduction will be taken one time for each state to which the employee has time charged to. The State Name should be BLANK in the State Code field and the field to the right side of the State Code field will be set to -1 which represents ALL states.

 

One Time Deduction – If a deduction needs to be taken ONE TIME ONLY regardless of the state that the employee works in, then you will need to leave the State Code field blank AND UNCHECK the Enable For All States checkbox. The state name should be BLANK in the State Code field and the field to the right side of the State Code field should be blank as well. When this option is selected, the deduction will be taken ONE TIME ONLY for each employee’s set of time card entries.   IMPORTANT NOTE: This type of deduction is only processed on the first time card entry for each employee. If you delete the deduction and make more entries for the employee, this deduction type will not be recreated again unless you have deleted all of the employee's entries and start over.

 

 

PROJECT MANAGEMENT

 

ENHANCEMENT - When a Daily Report is updated in the PM Log, the time card records associated with the Daily Report will be updated with the closed or open status so that the time card worksheet screen can reflect the status for each time card.

 

ENHANCEMENT - A new option titled "Update Daily Report Status for Time Cards" has been added to the the Project Management > Integrity Test Menu.  This routine will set ALL time card records on ALL Daily reports (open and closed) to have the same open/closed status.

 

ENHANCEMENT - The AB Mobile Configuration Screen option that is used to Close Multiple Daily Reports has been updated to also close all of he related time card records associated with the Daily Reports that are closed.

 

ENHANCEMENT - The Copy Job option on the pop-up menu in the PM Log has been updated to include the detail line items of a Closeout Log when the Closeout Logs are included (box is checked) in the Copy Function.  

CORRECTION - The COR Summary roll up totals from the detail breakdown lines were NOT respecting the new Cost Only and Contract Only breakdown types in the Master COR Category Records. This problem has been corrected.

 

 

Purchase Orders

 

CORRECTION - When you create or edit and Purchase Order line item, and you use the tab key to move from field to field, the field progression will now stop on the Unit of Measure field instead of skipping the field so that the entry is mandatory. If you save the entry without a unit of measure, the unit of measure will default to “Each“.

 

ENHANCEMENT - The invoice entry screen for PO AP Invoices was loading slowly when there were lots of lines on the order for invoice being processed. The load speed for these types of larger Purchase Orders has been improved.

 

ENHANCEMENT - The Purchase Order Properties screen contains a new option to set a default setting for the auto invoice fulfillment check box on the invoice entry screen.  The new option is titled "Disable Auto Invoice Fulfillment on AP Invoices" and when this option is enabled the Auto Invoice Fulfillment check box will be unchecked on the AP Invoice Entry Screen.  This is very useful when you are processing invoices on an order with hundreds of line items and you only want to apply an invoice on a few of the lines.

 

 

SYSTEM ADMINISTRATOR

 

ENHANCEMENT - New security restrictions have been added for Users and User Groups to secure the buttons on the Equipment List which include the Add, Edit and Delete Buttons.
