ENHANCEMENT - Client List - The search control at the top left side of the client screen will now be synchronized with the current client number in order to eliminate confusion when the two controls did not reference the same client.

 

 

DOCUMENT MANAGEMENT  

 

ENHANCEMENT - Speed Performance Improvements

 

The entire document management system and security system design was retooled which should result in major speed improvements up to 50 times faster for folder and document browsing. The Documents Tab on each master list (employees, clients, vendors, etc.) will now respond immediately as the user selects different records on the master list.

 

The Security Settings Screen for user defined document folders was redesigned to take advantage of the new security file structure so that security settings are updated immediately without any slow delay times.

 

 

JOB COST  

 

NEW FEATURE - Contract Billings - A new check box has been added to the Contract Billing screen which allows for zero contract amount items to be hidden on the billing screen for those items that are associated with a billing phase for reference purpose but do NOT have a contract amount. When this option is checked, any detail record item with a zero contract amount will be hidden from the user on this screen.

 
Note:  This box is automatically unchecked during postings and during any automatic calculations via the Fixed % control or the Automatic Billing Items menu option.

ENHANCEMENT - Speed Performance Improvements & Security Settings

 

MAR Reports List - This screen has been retooled to display the reports tree and navigate much faster through the reports list.  These improvements in speed will be very noticeable for companies with a lot of users and a lot of user and/or group report security settings.

 

MAR Report Security Settings - This screen has been retooled to display the report security settings tree and navigate much faster through the report security list. These improvements in speed will be very noticeable for companies with a lot of users and a lot of user and/or group report security settings.

 

MAR Report Security Settings - A new pop-up menu option titled 'Clear Report Security' will now allow user and group security to be removed from multiple reports at a time in the same manner that the 'Update Report Security' allows multiple reports to be assigned to users and groups. With this new option, simply select one or more reports and then select the users and/or groups from the pop up list to remove access (set security) on those reports for the selected users and/or user groups.  Previously, this could only be done for user or group at a time. This will make it much faster to remove a user or group from report access.

 

ENHANCEMENT - Job Cost Reports - Report formulas have been updated for the Projected Profit / Loss fields to include any Miscellaneous A/R Invoice amounts in the calculations if the invoices are marked to be included in the contract amount. The following MAR Library Reports were updated:

PURCHASE ORDERS  

 

ENHANCEMENT - The Purchase Order Screen has been updated with new controls and fields for handling the unit of measure on non-inventory items and for tracking dates and times on individual line item fields.

 

Unit of Measure – A new drop down control has been added which will now allow a unit of measure to be added to line items that are NOT linked to inventory parts. Previously, only line items with inventory part numbers could have different types of unit pricing with all non-inventory items priced as “Each”. The drop down control lists the abbreviation first and then the full description so that the unit of measure can be located much faster now by typing the abbreviation. Important Note: This new control will be disabled if the line item is tied to an inventory part number as inventory pricing MUST follow the unit of measure pricing from the inventory list.

 

New Date / Time Fields – Three new date fields were added at the bottom of the line item screen for tracking date and time statuses on PO line items.  For example, if a PO was created for equipment rental, you could use the Estimated Date field to enter the scheduled date that the equipment is due for return or pickup and use the Actual Date for the sign off date and time when the equipment is returned. Since these dates are tracked on each line, you could have several pieces of equipment with different date/time statuses.

 

New Copy Line Button – A new Copy Button has been added to the PO Items screen which will allow the current selected item to be copied to a new item number on the same PO. All fields of the existing item will be duplicated into the new line item number and the record pointer will be repositioned to the newly created line item.

 

New A/P Retention Percentage Setting – The Purchase Order Screen has a new field for setting up the default retention percentage for A/P Invoices. The PO A/P Invoice entry screen will now automatically set the retention percentage from this new field on the purchase order. Note: The Edit option for existing Purchase Orders has been modified to allow this new retention setting to be updated for existing Purchase Orders that have historical transactions. This will allow orders that have been partially invoiced to be edited so that the retention percentages can be automated going forward.

 

New Item Grid – A new tab was added to the Purchase Order Screen titled 'Item Grid' which will contain a list of all order records and their associated transactions records (receivers, invoices etc.).  This will make it easier to look up transactions and amounts that have been posted against each purchase order. All records relating to the selected Order will be displayed and will include a record type code (rectype) and associated description (rectypedesc) as described below:

 

1 = Order Item – Line item information record for the order (highlighted in silver).

2 = Payable Invoice – Payable invoice records that have been entered against the line item.

3 = Stock Transfer – Stock Fulfillment transaction records entered against the line item.

4 = Receiver – Receiver transaction records entered against the line item.

 

The grid configuration settings will be saved on a user by user basis for column selections, column order and groupings.

 

A right-click pop-up menu is also available to restore the grid settings. Be sure to close and re-open the purchase order screen to refresh the settings

 

 

PROJECT MANAGEMENT  

 

ENHANCEMENTS - COR Log

 

A new feature was added to the Change Order Request Log when a log is closed as “Amended” under a new COR Number. The original cost breakdown records associated with the original COR that is being amended are updated and linked to the new amended COR Number. In addition, if the cost breakdown items were already linked to the accounting system, the accounting links will remain in place under the new COR so that any changes to the breakdown items are carried over to the accounting system going forward.

 

When a Change Order Request is closed and “Amended” under a new COR Number, the new log and associated breakdown items will be saved and then Project Management Log will be refreshed with the new COR Number and the user is returned to the PM Log instead of immediately opening up the newly revised COR. This ensures that the any of the associated cost breakdown records that are moved to the new COR Record are fully committed on the new COR Number which eliminates any screen caching issues on the COR Cost Breakdown Screen.

 

A new framework was added to the automatic accounting links option in order to provide tailored solutions during the linking of Change Order breakdown records to the accounting system. During the linking process, a table will be created in the user folder entitled “CORItemLinkToAccounting” which will contain a record for each breakdown item in the processed COR entry that is linked to accounting system via the ESTDETL table. This table will contain 3 fields which can then be accessed through a custom class representing the new framework:

 

DetailItemNo – This field contains the Item Number in the ESTDETL table where the COR Breakdown item is linked to.

 

PMID – This field contains the breakdown item PMID in the PROJMGMT table that the ESTDETL table item is linked to.

 

NewItem – This field indicates if this is a new link that was just created during the current process. If “True” then the item was linked during the current process, and if “False” then the item was linked previously. Note: Whenever a COR Breakdown item is linked to the accounting system, a cross reference link is made in both tables as follows:

ESTDETL.PMCORPMID => PROJMGMT.PMID

 

 The custom class used to access this new framework is class number 102020.

 

A new menu item was added to the Accounting Links Button titled “Change Billing Phase on Selected Items” which allows for multiple breakdown items to be updated with a new billing phase. This option can be very useful for changing the COR Billing Phases once the CORs are approved for billing. To use this new feature, you will first need to select the COR Breakdown Records in the grid as outlined below:

 

1. Select desired records using CTRL-Click with the mouse or Shift + Down Arrow Keys on the keyboard.
2.Click on the Accounting Links Button and select the new menu option for changing the Billing Phase.
3.A new Phase drop-down control will appear on the screen next to the Accounting Links Button – select the desired billing phase from the drop down list.

 

Note: The type of billing phase list will be dictated by the Bill Lookup Check Box. If this box is checked, then the current job billing phases will displayed, otherwise the billing phases from the Phase Master list will be displayed.

 

The COR Breakdown Screen now allows for breakdown items to be set for Cost Only, Billing Only, or Both Cost and Billing amounts. This now allows you to zero out the cost estimate amount or the billing contract amount when entering a price breakdown record.

 

NOTE: For linking purposes to the accounting system, you will still need to have a job cost phase and a billing phase, but the related estimate amount or contract amount can be set to zero based on the selection:

 

Cost Only Item – Only the Estimated Cost for the COR Breakdown Item will have an amount and the Contract Billing Amount is set to zero.

 

Billing Item Only - Only the Contract Billing Amount for the COR Breakdown Item will have an amount and the Estimated Cost Amount is set to zero.

 

Both – This is the default setting for all COR Breakdown Records and requires both Estimated Cost amount and Contract Billing Amount on the breakdown item.

 

CORRECTION - The system had a problem with Amended CORs when the new COR had a decimal position of “.03” and possibly others as well. The newly amended COR numbers were not being updated correctly and the associated cost breakdown items could not be edited. This problem has been corrected.

 

CORRECTION - The Copy Job option was included the original accounting links when COR Log entries were included in the copy routine. This routine has been updated to clear any accounting links if they exist on the newly copied COR Records.

 

CORRECTION - The COR Menu Option to “Duplicate Highlighted” Change Order Request was updated to make sure that any associated cost breakdown entries that are duplicated will be cleared of any accounting links if the accounting links existed in the original COR Log entries.

 

CORRECTION - Whenever breakdown items that are linked to the accounting system were modified, the information message which displays the field changes made to the accounting system was showing duplicate messages. This has been corrected.
