The following process occurs automatically when the Out For Answer button on the Correspondence Tab is selected:
1. The RFI record is updated for the following fields:
§ | Submittal Date - Updated with the current date. |
§ | Response Due Date - Updated with a future date based on the default number of working days allowed for a response on a RFI. |
§ | Status - Automatically set to Out for Reply. |
§ | Status Date - Updated with the Submittal Date of the RFI. |
2. | The Out for Answer button is disabled and the Reply Receipt is enabled for processing the reply when it is received. |
3. | A transaction record is created automatically with a date and time stamp to document the flow of the RFI process. Be sure to update the following fields in the transaction record for documentation and correspondence purposes: |
§ | Sent To / From – Depending on the Contact Settings option in the PM Properties screen, this field will either display a list of all companies who are attached to the current job's PM Category List or it will display all companies in the Client database. |
§ | Contact – Depending on the Contact Settings option in the PM Properties screen, this field will either dipslay a list of individuals who are members of the current job's PM Team List, or it will display all e-mail contacts in the Client database that have been attached to the company that is listed in the Sent To / From field. |
§ | Notes – Optional field to record any notes regarding the transmitted information. For example, you might want to record that the RFI was hand delivered to the architect during a job site meeting. |
§ | Send… - Use this option to create a transmittal letter to send with the RFI Form. After previewing the form, a copy of the transmittal will be automatically saved in corresponding log documents. |
