Entering a Joint Check to a Vendor's Credit Memo

"How do I apply a joint check that I have received to a vendor's credit memo when the Joint Check Screen doesn't show the credit invoice?"

 

1. Enter the joint check information as you normally would with the check amount equal to the total amount of the joint check.  As you select each payable invoice, AccuBuild will attempt to apply the remaining balance of the check to the current invoice amount until the remaining check balance is zero.  Once posted, the accounts payable aging schedule will show the remaining balances of the applicable invoices including the credit memo.  The net amount of these invoices should be zero, however, you will want to clear the invoices from the aging schedule.
 
In this example, you have received a joint check with your company and Drip Drop Painting in the amount of $2900.00.  Drip Drop Painting has two outstanding invoices totaling $3,000.00 and one credit memo for $100.00.  Again, the credit memo will not appear on the joint check entry screen.  When the  invoices are selected for Drip Drop Painting, AccuBuild will apply $500 to the first invoice and only $2400 to the second invoice.  Once posted, the accounts payable aging schedule will show the $100.00 remaining balance on invoice number 2 as well as a credit amount of $100.00.

2.To clear the remaining invoices, enter a handwritten a/p check using the same check number and the same check date used for the joint check cash receipt entry.  The net amount of the check will be zero.  AccuBuild will find that the vendor has unpaid invoices on the aging schedule including the credit memo.  Attach the applicable invoices, including the credit memo, to the check and post.
