Import of Time Card Records

If you are using compatible time clock software or an AccuBuild Excel Template, you may select the Import Time Records Button on the Time Card Entry Screen to automatically create time card records in the batch.  This button will display the Import Time Records Screen.  

 

 

The Import File Specifications section of the screen will display the default Third Party Time Card Provider, the Import File and the Specification File as set up on the Time Card Import Tab of the Payroll - Properties Screen.  The import process will be displayed in the dialog box and the following steps are carried out:

 

1.A copy of the import Ascii file will be made to the user's folder and named: tcmmddyy.txt. ('mmddyy' represents the week ending date for the payroll batch).

 

2.Using the asciispecfile, the records in the import ascii file will be read into a temporary batch file, tcimport.adt, which is located in the user's folder.

 

3.The tcimport.adt file will then be processed to create the temporary time card and payroll check batch files (prtcbat.adt and prckbat.adt) using the business rules for time card import.

 

4.The user should review the import log before closing the screen to note any errors or warnings so that the time card entries can be edited if necessary.  A log of the import process will be saved as primport.txt in the user folder primport.txt.  This file can be opened in NotePad and printed if desired.

 

When the import process is finished, the time card front end screen will be closed automatically in order to save all of the import records properly.  When this screen is reopened, all of the import records will exist in the current batch for further editing and processing.  Refer to Step 4 of the Entering Time Card Data documentation for instructions on editing the time card batch.  

 

RESTORING THE TIME CARD BATCH FILES

 

If you have a problem with importing the records, you may need to revert back to the batch files as they were BEFORE the import process was run.  AccuBuild creates a copy of the time card batch tables and stores them in the user's folder and will be named as follows:

 

o        PRTCBAT_BeforeTCImportx.ADT

o        PRTCBAT_BeforeTCImportx.ADI

o        PRCKBAT_BeforeTCImportx.ADT

o        PRCKBAT_BeforeTCImportx.ADI

 

'X' represents the backup file number set (1-3).  Each time the TimeCard Import process is run, a backup set of files will be made starting with set number 1 and incrementing through set number 3.  This can be helpful whenever the Import Process is run multiple times during the AccuBuild Session.  If the Import Process is run more than 3 times during the AccuBuild Session, then the set backup set will start over at number 1 again and replace the original set number 1.

 

If problems arise during the time card import process, you will need to rename or delete the current batch files and then rename the backup files as follows in order to use them as the current batches:

 

o        PRTCBAT_BeforeTCImportx.ADT        =>        PRTCBAT.ADT

o        PRTCBAT_BeforeTCImportx.ADI        =>        PRTCBAT.ADI

o        PRCKBAT_BeforeTCImportx.ADT        =>        PRCKBAT.ADT

o        PRCKBAT_BeforeTCImportx.ADI        =>        PRCKBAT.ADI
