Email Errors on Mail Merge PDF - MS Office 365

 

On October 5th, 2021, Microsoft made changes to their Microsoft 365 Defender Portal which has had a direct impact on AccuBuild’s MAR Email Merge Process.  Specifically those processes which produce individual MAR PDF Documents and automatically email these documents to employees or subcontractors.  This month we have experienced several support cases from our customers who are using Office 365 for their email processing.

 

The issue appears to be blocking a selected amount of emails when a large batch is processed such as employee direct deposit statements.  We believe that these new changes from Microsoft are marking these emails as spam and therefore blocking them from being sent. The specific error in AccuBuild that displays for each email failure is shown below:

 

Exception Error at TdmEmaildm.EmailSingleDocumenterrfunc:SSL is not available on this server.

 

We have been working with selected customers to detect what has caused these errors and are trying to come up with a solution.  We have no control over the Microsoft 365 services as these are controlled by our customers and their IT staff or IT service vendor.  If we discover a setting that can be configured in the Office 365 email settings, we can pass that onto our customers so that they can get the new setting configured.

 

Until this issue can be resolved, we are making changes in AccuBuild Program and offering work around solutions to make this less frustrating for our customers:

 

Program Changes: Changes and settings have been added in AccuBuild to help eliminate some of the frustration with these errors:

 

oOnce all of the emails have been sent, a summary text file will be created to log the results of the email process which will include the number of emails sent, then number of emails skipped (if any) and the email addresses for any emails that were skipped. The file name format for this file will be labeled as follows:

 

EmailSingleDocumentResults__mmddyyyyhhmmss.txt

 

oA new button entitled Email Logs has been added to the Email Merge Report Screen which allows you to view the new email log files (EmailSingleDocumentResults__mmddyyyyhhmmss.txt)  that are created in the AccuBuild User Folder during the E-Mail merge Process.  

 
Example of the email audit process:  This file will be displayed in a Notepad window at the end of the process and contains all error messages in one file:

oAn Advanced Setting has been added that can be used to eliminate the display of all the email error messages.  When this setting is enabled, the pop up error messages will be suppressed so that the user does not have to click through all of the errors.  The above text files will still be logged on disk along for review after the process has finished.

 

The new Advanced Setting is entitled SuppressErrorMsgOnEmailFailuresForMARMailMerge and once you have this enabled, the pop up error messages will be suppressed.

 

 

Work Around Suggestions:

 

oIf the AccuBuild User that handles the email process has another email address from a different provider such as Gmail, try updating the email credentials with a different email address to see if this resolves the issue.

 

oIf you want to continue using your Microsoft 365 email account, you can check the new log file mentioned above with the email summary that lists the emails that failed.  You can then repeat the email process with a partial run for the emails that failed the first time.  Refer to the file entitled EmailSingleDocumentResults__mmddyyyyhhmmss.txt for a list of the failed email addresses.
