Making a Copy of Your Data

AccuBuild contains an internal backup system that will compress the company data and company subdirectories into a .zip file that can be stored on a local hard drive or a portable drive.  This file can than be unzipped with the Restore Data option if the data files become corrupt. This feature is mainly used for passing your company data to your accountant or CPA for tax planning and financial statement preparation.

 

Warning: The AccuBuild backup and restore functions are not intended to be used as your main backup method. Always use a third party backup device for backing up your computer system. The backup and restore functions of the AccuBuild® system are limited, and will only perform full backups and full restores for the current company files.   It is strongly recommended that you back up your data every day with an external backup system. When using an external backup system, be sure to include the AccuBuild program directory and all its subdirectories, as well as all company and user directories.

The backup routine copies all the files within the company directory and names the file with the current date (ie. DEC31.zip).  The default storage locatio of the file is your company directory.  The default file name and the location can be changed by clicking the Change backup file button. For extra protection, it is recommended that the default location be changed from the company directory to either another workstation (in a network environment) or to a portable drive. This is to protect the backup file in case the default hard drive is damaged.

 

You may optionally include the company subdirectory folders in your backup.  These are the user data files that contain unposted transactions, Dashboard settings, etc. (Version 9.0.0.5 Blue)

 

The backup routine will also create a copy of the minimum files needed (Version 9.0.0.5 Blue) that are located in the \AccuBld8\Data\ directory and store it as a file called System.zip within the backup .zip file. The System.zip contains a copy of the Company.adt, Users.adt and Menus.adt tables (among others) that relate to the system security. This file would only need to be restored if a complete system failure occurred and all data were lost. Please contact the AccuBuild Support Staff before restoring this file.

 

Note: Be sure to contact the AccuBuild Support Staff immediately if the Skipping File Message is displayed during the backup routine.  The system will list the skipped files as an aid to identify the files that are causing the problem.
