Account Type Codes

The Account Type Codes menu option allows you to edit or add account types which control the grouping of the g/l accounts on the MAR financial statements.  You may link the Account Type Codes to each g/l account through the Chart of Accounts or through the Account Type Links menu option.  

 

The Account Codes screen is presented in a 'tree' display based on the level of the account type.  Up to five levels of account types may be created which also controls the indentation of each group of accounts on the financial statement.  For example, Assets, Liabilities and Capital are each considered a Level One account Type. Current Assets, Fixed Assets, and Current Liabilities are considered Level Two account types. Checking / Savings is a Level Three account type, and Bank Accounts and Investments Accounts are Level Four account types.  When the general ledger accounts are linked to the account types, the financial statement would look like this:

 

Again, in this example, the cash accounts have been linked to either the Bank Accounts or Investment Accounts; the g/ accounts do not have to be manually linked to the Assets, Current Assets, or Checking/Savings account types because the Bank Accounts code has already been linked to those other groups.  If you do not wish to use this level of detail, you may link your cash accounts to just the Checking/Savings, or to just the Current Assets, which will reduce the number of groups and subtotals that appear on the financial statement.

 

Click the + button next to a group to drill down to view other codes linked to the group.  For example, the Other Current Assets group contains codes for Other Current Assets, Prepaid Expenses, and Advances.

Add a New Account Type Code


1.Begin by choosing a place in the grid where you would like to insert a new code.  For example, if you wish to add a new code under the Advances in the Other Current Assets group, click on the Advances line.
2.Click the Insert New Code button.  The system will create a new line in the grid based on the highlighted code with all the same links to the other account code levels.  The code number (glfstype) will be assigned based on the original line number + 1 but you may change the line number if desired (press enter twice to accept the change).  The line number must be unique and will control the order in which the group is displayed on the financial statement.  For example, code 14200 (Prepaid Expenses) will print before code 14300 (Advances) on the balance sheet.

 

3.Enter a description for the code (press enter twice to accept the change).  This description does not actually appear on the financial statement but rather just defines the group to which the g/l account is linked.  
4.Review the levels.  Each one of the levels will have its own description. These descriptions will appear on the financial statement.  To add a new level, type in a new group number in the appropriate level number field and enter the description.  Each level is independent of the other so a code 14000 in Level 2 does not have to have the same description as 14000 in Level 3.  However, refrain from assigning different descriptions to the same code number in the same level.  
5.Click the Check for Errors button for warnings.  This screen will display a message when a g/l account has not been linked to an account type; if a g/l account has been linked to an account type that no longer exists (invalid account); or if multiple descriptions exist for the same account type in the same level.  
6.Click the Account Type Links button to link each g/l account to the appropriate account type.  

 

 

Do-itNote: Account 30400.00 is a reserved account number that is used by the MAR Balance Sheet to hold the Net Income for the reporting period.   Do NOT set up this account number in your Chart of Accounts for your Net Income or for any other account purposes.  If you have already posted transactions to this account, please contact AccuBuild Support at steam@accubuild.com to have a technician modify the account number for you (GLMaster, GLDetail).   Setting up account 30400.00 in the Chart of Accounts will cause the MAR Balance Sheet to replicate the Net Income multiple times.
