This is the final step in the Submittal process.  The document flow for closing out a Submittal will depend on if the Submittal process is complete and whether or not the Submittal Information has been approved.  To close a Submittal you must select one of the following options:

 

§Approved – Use this option to mark the Submittal as approved with NO exceptions.

 

1.The Submittal record is marked as CLOSED on the project management log.

 

The Status field of the Submittal is set to Close – Approved.

 

§Approved (As Noted) - Use this option if the Submittal is approved but contains noted comments regarding the approval.  Although there are notations on the approval, the submittal process is complete and NO information will need to be resubmitted.

 

1.The Submittal record is marked as CLOSED on the project management log.

 

2.The Status field of the Submittal is set to Close - Approved (As Noted).

 

§NOT Approved (Request Resubmittal) – Use this option to create an amended Submittal entry when the submittals are rejected and need to be resubmitted for approval.  This will start the process over again under a new amended Submittal number.

 

1.The Submittal record is marked as CLOSED on the project management log.

 

2.The Status field of the Submittal is set to Close – Not Approved (Request Resubmittal).

 

3.A new Submittal entry is created automatically using an amended Submittal number which simply adds .01 to the current Submittal number.  For example, if Submittal number 33 is amended, the first amended Submittal record would be number 33.01.  If it had to be amended a second time, then the second amended Submittal number would be 33.02 and so on.

 

4.Start the Submittal Process over again with the new Amended Submittal.
 
Note: Any documents in the ADMS that were attached to the original Submittal Entry will be attached to ALL amended versions of the Submittal as well so that the paper trail and supporting documentation is maintained throughout the entire life cycle of the Submittal.

 

§Void – Use this option to void the Submittal Entry.
